Refund & Cancellation Policy
This Refund & Cancellation Policy ("Policy") describes the refund and cancellation practices of Astroman LLC ("Astroman") for its customized scientific evidence analysis, communication, and consulting services. Because projects are individually scoped and may involve substantial professional work performed specifically for a client, refunds and cancellations are handled according to the stage of the engagement and the applicable written agreement for the engagement ("Project Agreement").

1.Project Approval
Before work begins, Astroman and the client will agree to a Project Agreement identifying the material terms of the engagement, which may include:
- project scope;
- deliverables;
- pricing;
- payment schedule;
- anticipated timeline; and
- revision terms.
The Project Agreement may establish project-specific cancellation or refund provisions. Where those provisions conflict with this general Policy, the Project Agreement will control.
2.When Work Begins
For purposes of this Policy, work is considered to have begun when Astroman starts performing substantive work on the project after the parties have agreed to the applicable Project Agreement and Astroman has received any required initial payment.
Substantive work may include literature searching or review, evidence analysis, data or document review, drafting, preparation of presentations or educational materials, project-specific research activities, or other professional work performed for the engagement.
Administrative communications associated solely with establishing the project generally do not constitute substantive project work.
3.Cancellation Before Work Begins
Unless otherwise stated in the Project Agreement, a client who cancels an engagement before substantive work begins is generally eligible for a refund of amounts paid to Astroman for the project.
Any non-refundable third-party charges or expenses incurred specifically at the client's request may be deducted where disclosed and applicable.
4.Cancellation After Work Begins
If a project is cancelled after substantive work has begun, Astroman may retain or charge an amount reasonably reflecting:
- work completed;
- professional time already devoted to the project;
- completed or partially completed deliverables; and
- authorized third-party expenses or project-specific costs already incurred.
Any refundable balance will be determined in good faith based upon the circumstances of the project and the applicable Project Agreement.
Where milestone pricing or another project-specific cancellation method is established in the Project Agreement, that method will control.
5.Cancellation by Astroman
Astroman may terminate an engagement as permitted by the applicable Project Agreement. If Astroman terminates an engagement, amounts owed or refundable will be determined in good faith based on work performed, completed or partially completed deliverables, authorized expenses, amounts previously paid, the applicable Project Agreement, and applicable law.
6.Completed and Delivered Custom Work
Fees attributable to completed custom deliverables are generally non-refundable after delivery, except as required by applicable law or expressly provided in the applicable Project Agreement.
Custom deliverables may include scientific evidence analyses, literature reviews, reports, presentations, scientific or technical writing, educational materials, editing, evidence summaries, and other client-specific work product.
A disagreement with a scientific conclusion does not by itself establish that a deliverable fails to conform to the scope of the applicable Project Agreement.
7.Revisions
Astroman will provide revisions expressly included in the applicable Project Agreement and will use reasonable efforts to address issues where a deliverable does not conform to the scope specified in the applicable Project Agreement.
Requests that materially expand or alter the approved scope may require additional fees and an approved Change Order or other written amendment to the Project Agreement. Any additional charges will be communicated before out-of-scope work is undertaken.
Any applicable review or revision period should be specified in the Project Agreement.
8.Exceptional Circumstances
Astroman may consider refund or cancellation requests arising from unusual or extenuating circumstances on an individual basis.
Any accommodation provided in one circumstance does not require Astroman to provide the same accommodation in other circumstances.
Nothing in this Policy limits rights or remedies that cannot lawfully be waived.
9.Payment Questions and Disputes
Clients with questions concerning an invoice, payment, cancellation, or deliverable are encouraged to contact Astroman promptly so the issue can be reviewed.
Nothing in this provision prevents a client from exercising rights available through a payment provider, financial institution, contract, or applicable law.
10.Refund Processing
Approved refunds will generally be returned through the original payment method where reasonably practicable. Processing time may depend upon the applicable payment provider or financial institution.
11.Changes to This Policy
Astroman may update this Policy periodically. Changes will not retroactively alter the refund or cancellation terms of an existing Project Agreement unless agreed by the parties or required by applicable law.
